Ageing period definitions are used for generating Vendor ageing, Customer ageing and Aged balances for Sales collection having uneven ageing buckets. Typically if ageing period definitions are not used then Vendor ageing report and customer ageing report are generated with evenly spaced ageing buckets based on the value specified in parameter Interval and the ageing is either Backward or Forward depending upon the value selected for Printing direction parameter.
However, in some reporting scenarios, it is desired to have a hybrid approach for reporting ageing of vendor/customer balances, where a few buckets are Forward and remaining are Backward. Also, sometimes it is required to unevenly distribute the ageing bucket periods.
In all such reporting cases, Ageing period definition can be used. So, let’s go through the steps for defining the Ageing period definitions.
Setup ageing period definitions
- Navigate to Accounts payable >> Setup >> Ageing period definitions or Credit and collections >> Setup >> Ageing period definitions. Both options will bring us to the Ageing period definitions form (Form name: CustVendReportInterval).
Ageing period definition form
- On ageing definitions form click the New button to create a new ageing period definition.
- Enter Ageing period definition code and description.
- Click Add above or Add below button to add new ageing bucket line.
- Enter a value in Period field which describes the ageing bucket. This text is printed in the Customer/Vendor ageing report when the Print ageing period description parameter is set to Yes.
- Enter numeric value Unit field. Select Interval to determine how the value entered in the Unit field is treated. When Vendor/Customer ageing report is processed, Microsoft Dynamics 365 for Finance creates buckets based on these values entered in the Unit field in conjunction with Interval field.
- Ageing indicator is just an informative field based on which prints visual Icon against each bucket.
Backward ageing period definition for uneven ageing buckets
In this section I will walk you through creation of Ageing period definition for uneven ageing buckets and backward printing direction.
- Click New button on Ageing period definitions form. Enter code and friendly description.
- Remove the first four, period definition lines. Only keep the Current bucket having Unit 0 and Interval Unlimited.
- Click Add above button to add a backward ageing bucket. Enter Period (a friendly name for bucket), enter -30 in Unit and select Day in Interval field.
- Follow step #3 by selecting the first line, to add two more ageing periods to the ageing period definition as per below screenshot.
- Follow step #3 by selecting the first line, to add one more ageing period to the ageing period definition but enter -1 in Unit field and Unlimited in Interval field.
Hybrid ageing period definition
In this section we will be creating a hybrid ageing period definition having mixture of forward and backward ageing period buckets. Follow the steps below:
- Click New button on Ageing period definitions form. Enter Ageing period definition code and friendly description.
- Remove the first four, period definition lines. Only keep the Current bucket having Unit 0 and Interval Unlimited.
- Click Add above button to add a backward ageing bucket. Enter Period (a friendly name for bucket), enter -30 in Unit and select Day in Interval field.
- Follow step #3 by selecting the first line, to add two more ageing periods to the ageing period definition as per below screenshot.
- Follow step #3 by selecting the first line, to add one more ageing period to the ageing period definition but enter -1 in the Unit field and Unlimited in Interval field.
- Now, select ageing period Current and then click Add below button to create a forward ageing period bucket. Enter values as per bucket #5 below screenshot
- Select the last ageing period and then click Add below button and enter values as per last ageing period in below screenshot.
